Discover how to create a template in AiInbox for WhatsApp messages. Customize the template with variables and include a footer with a suggested unsubscribe message.
Before creating your own template from scratch or choosing one from the AiInbox Template Library, it’s important to understand the key elements that make up WhatsApp templates.
Components of WhatsApp Templates
These elements are crucial for creating messages that are engaging and meet WhatsApp’s guidelines. Let’s take a closer look at each component.

Headers | Headers, which may include text, images, videos, documents, or locations, appear at the top of template messages. Each template can include only one header. |
Body | The body of the template contains your main message. Keep it clear and concise, and use placeholders (or variables) to personalize information that will be added when the message is sent. |
Footer | The footer is optional and can include extra details or a call to action. It’s a great spot for contact information or a legal disclaimer. |
Buttons | You can enhance your templates with buttons like quick reply, call-to-action (CTA), or form buttons. These buttons can direct users to a website or encourage them to respond with preset options. |
You can create a WhatsApp template from scratch or customize one from the AiInbox Template Library.
Create a Template from Scratch
1- To create the template in AiINbox, go to Template module and Click on + Create New Template. The Template editor will open up.
2- Enter the template name and select its category. If you’re uncertain whether the message is for marketing or utility, choose “yes” to allow category changes. Select the channel for creating WhatsApp templates (if multiple WhatsApp numbers are connected), and choose the language from the dropdown menu.
3- Select the message header type and fill in the details accordingly. For text headers, limit to 60 characters. For videos, accepted formats are .mp4 and .3gpp with a maximum size of 10MB. PDFs should be in .pdf format, also up to 10MB. Only static locations can be used as a header.
4- Compose the message in the Message Body. Use variables to personalize messages for different customers; for instance, {{name}}
to greet with the customer’s name or {{orderId}}
for order updates. Include sample values for each variable used.
5- Include a footer with the recommended text: “Reply with ‘STOP’ to unsubscribe from marketing messages.” You can also add your business tagline if desired.
6- Buttons offer an easy way for users to engage with a message and perform specific actions. There are three types of buttons:

Quick Reply: A customizable button that enables users to respond quickly with predefined options (e.g., “Yes” or “No”).

Call to Action: A button designed to prompt users to take a specific action, such as visiting a website or completing a form.
7- For the final review, go through the generated template to check for any changes. Once ready, click “Submit for approval.”
Edit a Template from AiInbox Library
1- Go to template module and switch to template library
2- Choose a template that suits your business needs. After clicking “Use,” you’ll be able to edit the template components to fit your requirements.
3- Once you’ve finished editing the template (adjusting the category, modifying the message content to match your business tone, adding the footer content, and including buttons), click the “Submit for Approval” button. The template will then be sent to META for verification.
The approval process for a WhatsApp template can take between 1 to 24 hours.
Sync with WhatsApp to know the approval status
Ensure your WhatsApp is connected to AiInbox to track the approval status of your template from META. This way, you’ll be notified promptly when your template is approved and know the next steps.
